Strategic Motors Group ("we," "us," or "our") operates SMG Bot ("the Service"), an internal automation tool. This Privacy Policy explains what data the Service handles and how we use it.

1. Information We Process

The Service processes business data in the course of automating internal workflows. This may include:

• Customer and lead contact details (name, email, phone)
• Transaction and deal records, including financial amounts
• Vehicle and inventory information
• Employee identifiers used to route tasks and notifications

2. How We Use Information

The Service uses this data solely to:

• Synchronize records between authorized internal systems (Slack, Zoho CRM, QuickBooks Online, Airtable)
• Generate invoices and notifications related to closed transactions
• Route leads, payments, and operational tasks to the appropriate personnel

We do not sell, rent, or share data with third parties for advertising or marketing purposes.

3. Third-Party Services

The Service integrates with third-party platforms on our behalf. Data transmitted to or from these platforms is governed by their respective privacy policies:

• Slack
• Zoho
• Intuit (QuickBooks)
• Airtable

4. Data Storage and Security

The Service is hosted on Vercel and uses industry-standard security practices, including TLS encryption in transit and access controls for credentials and tokens. Authorization tokens for third-party services are stored as encrypted environment variables or in managed key-value storage.

5. Data Retention

The Service does not maintain a long-term database of customer data. Records are read from and written to the third-party systems listed above; retention in those systems is governed by their respective policies and our internal data-retention practices. Operational logs are retained for a limited period for debugging and audit purposes.

6. Access

Access to the Service is limited to authorized employees and agents of Strategic Motors Group. We do not provide the Service or its data to external users.

7. Children’s Privacy

The Service is not directed to children under 13 and does not knowingly collect personal information from children.

8. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent revision.
